Hardware store software: from the notebook to real-time inventory

Hardware stores and tile suppliers carry thousands of items and run on trust. Here is how a system replaces the notebook without slowing down the counter.

By Adeel Javed, Founder & CEO. 24 October 2026. 5 min read.

For years we were on the buying side of hardware stores, tile suppliers and marble businesses, as a contractor. We watched the same scene in shop after shop: a register for credit, a second register for orders, and a stock count that lived in the owner's head. The organised shops were visibly more profitable. The difference was not capital. It was information.

Why the notebook survives

The notebook survives because every software a hardware store has tried was slower than the notebook at the counter. Thousands of items, sizes and brands; a customer who wants "the same as last time"; a price that depends on who is asking. If the system cannot handle that in seconds, the staff go back to paper.

What a system has to get right

  • Items with variants: a tile has a size, a grade, a lot number and a box count. The system must speak that language.
  • Customer-specific pricing and credit limits, shown at the moment of sale.
  • Orders taken by phone and WhatsApp recorded once, then delivered and invoiced from the same record.
  • A customer ledger that is always current, with the credit position visible before you extend more.

What changes for the owner

The owner stops being the stock count. Stock value, receivables and daily margin appear on the owner's phone at closing time. The 20 percent of items that make 80 percent of the profit become visible, and so do the customers who always pay late.

In a hardware store, the profit is usually sitting on a shelf nobody counted or in a register nobody reconciled.

If you run a hardware store, tile shop or marble business and the notebook is still winning, we would like to hear what has gone wrong with the software you have tried. That conversation is where our best systems start.
